Food Service Account Clerk

Department: Diocese of Covington School Lunch Program

Reports To: Diocese of Covington School Lunch Director

Position Summary:

The Food Service Account Clerk performs complex and advanced level accounting duties and maintenance of assigned accounts for the national School Lunch Program (NSLP). This position is responsible for processing payroll for cafeteria employees, preparing and reconciling financial statements, and ensuring compliance with diocesan, state, and federal regulations. The role requires accuracy, confidentiality, and a high degree of technical skill in financial recordkeeping and reporting.

Essential Duties and Responsibilities:

  • Perform advanced accounting and recordkeeping functions related to the NSLP and diocesan food service operations.
  • Prepare, verify, process, and control assigned financial transactions, including payroll, disbursements, deposits, and reimbursements.
  • Process payroll for all cafeteria employees using Paychex software and submit reports to the Diocesan Payroll Department.
  • Verify, balance, and adjust accounts as needed; investigate and resolve discrepancies.
  • Prepare monthly and year-end financial statements, including profit and loss reports and other technical financial reporting documents.
  • Maintain, reconcile, and monitor assigned accounts in compliance with Generally Accepted Accounting Principles (GAAP).
  • Support internal control systems, ensuring funds are accurately tracked and safeguarded.
  • Coordinate with the Food Service Director to support state and federal reimbursement of submission and audit requirements.
  • Learn, interpret, apply, and explain rules, regulations, policies, and procedures related to the School Lunch Program and diocesan operations.
  • Maintain confidentiality of sensitive payroll, financial, and student related information.
  • Perform other duties as assigned.

Qualifications:

Education:

  • Combination equivalent to graduation from high school or GED.
  • Associate’s degree in accounting, business administration, or related field or equivalent accounting experience.

Experience:

  • Minimum of five (5) years of accounting or bookkeeping experience, preferable in a school or nonprofit environment.

Knowledge and Skills:

  • Advanced principles of accounting, financial recordkeeping, and internal controls.
  • Proficiency in Paychex, Microsoft Excel, and accounting software (Financial Edge experience preferred).
  • Ability to prepare accurate and timely financial reports.
  • Strong analytical skills and attention to detail.
  • Ability to interpret and apply federal and state regulations pertaining to the NSLP.
  • Excellent organizational, written, and verbal communication skills.
  • Demonstrated ability to work independently and maintain confidentiality.

Work Schedule: Full-time, year-round position (12 months). Monday through Friday 8:30-4:30.
